Project background

Travel applications can be invaluable for the organization.
Travel apps improve the efficiency, convenience, and cost-effectiveness of corporate travel, while also ensuring compliance, safety, and data-driven decision-making.
Travel apps streamline the process of planning, booking, and managing travel arrangements.
Travel apps centralize all travel-related information in one place, making it easy for employees to access their itineraries, flight statuses, hotel reservations, policies of the organization, and other important details on the go.
Travel apps integrate company travel policies, ensuring employees adhere to company guidelines. This helps to enforce compliance and control costs.

the ask
The HubOps requires an app that manages travel request approval process, streamlining verification of travel reasons and required documents, reducing time and email exchange for a smoother experience.

Problem

The current travel request procedure involves a series of approval stages, encompassing the validation of the travel rationale, verification of necessary documentation, and related steps. However, the reliance on email exchanges for these processes results in inefficiencies, time consumption, and a lack of smoothness in the workflow. Implementing an app to centralize travel request submissions, integrate approvals, and provide seamless access to travel policies would greatly enhance the organization and efficiency of this process, reducing email exchanges and improving overall workflow.
the Goal
Create an app for streamlined request management, allowing easy submission and viewing for Employees and HubOps. Include features for document uploads, manager approval, and notifications for all parties involved. Keep email interactions minimal to enhance workflow efficiency.

Discovery

Step 1

Competitive analysis

The competitive analysis focuses on direct and indirect competitors assessing their course offerings, interactive features, and user experiences.

Key Takeaways

  1. Ensuring robust integration with other corporate systems (like HR and finance software) is crucial.
  2. An intuitive and seamless user interface (UI) and user experience (UX) are paramount. The app need to be easy to use across devices, particularly mobile, given the on-the-go nature of business travel.
  3. Features that help companies enforce travel policies and manage compliance automatically are highly valued.
  4. With increasing focus on corporate responsibility, features that help companies track and reduce their carbon footprint are becoming a competitive differentiator.

User Flow

The user-flow streamlines the travel request process. This ensures necessary approvals are obtained, integrate with external services for bookings, and keep users informed at each stage of their travel request journey.

Step 2

Persona Creations

Persona creation helped me to understand target users, their needs, preferences, and the problems they might face while using the app.  Each persona helped to identify specific features and functionalities that could be critical in the design and development of the app, such as integration with existing corporate tools, user-friendly interfaces for quick actions, notification systems for updates.

Story Boarding

Storyboarding helped me in visualizing the complete journey of users and identifying their pain points. By focusing on the users' experience throughout the storyboard we can prioritize features based on user needs and expected behaviors.

Wireframes and usability testing

Low fidelity wireframes allowed me to deliver my ideas quick and easy. After the app reached the expected level, we had the usability testing done. The findings from the usability testing were helpful in iterating and designing the high fidelity wireframes.

Usability testing findings

  1. Streamline navigation by grouping related features under intuitive categories and using familiar icons and terminology
  2. Ensure the app is fully responsive and optimized for a range of devices, emphasizing mobile-first design
  3. Create a dashboard or home screen feature that prominently displays the main features.
  4. Standardize UI elements and interactions across the app to ensure a cohesive experience.

Design

Step 3

User Interface Design

From our usability testing findings, we were able to quickly iterate on the wireframes before moving into UI design. Utilizing existing styles, tokens and components established during the website redesign, we built on top of the final wireframes to create the desktop and mobile mock-ups for all screens involved in the dashboard experience
